Understanding OST and PST Files in Microsoft Outlook

Microsoft Outlook users may come across both OST and PST files when managing email data, but the two formats are designed for different purposes.

An OST file is generally created when an Outlook account uses Cached Exchange Mode. It allows Outlook to keep a locally synchronized copy of mailbox information, such as emails, calendar items, contacts, and other data. Because the OST is associated with the Outlook profile and account, it should not be treated in exactly the same way as a standalone backup.

A PST file is different. It is commonly used to store Outlook data locally for purposes such as archiving, transferring mailbox information, or importing data into another Outlook setup.

This distinction becomes particularly important when an Outlook profile is no longer available or an offline OST contains information that cannot be accessed from the original mailbox.
